This website is operated by Future Value Alliance Ltd, trading as the Value AI Institute ("we", "us"), registered in England and Wales with company number 16090142, 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. What this notice covers
This notice explains how we handle personal data collected through aistrategy.valueai.institute, including consultation bookings and client onboarding. How we handle data during an AI Strategy engagement is set out in the Privacy and Data Security Policy provided with the engagement agreement.
What we collect and why
Consultation bookings. When you book a consultation, we collect your name, work email, organisation, role, the time you choose and anything you tell us about your goals. We use this to arrange and hold the call and to follow up with you. Our lawful basis is our legitimate interest in responding to enquiries, and taking steps at your request before entering into a contract.
Client onboarding. If your organisation has engaged us, we collect your client code, organisation name, agreed start date, your email address, and the names, roles and work emails of your main sponsor and core team. If you provide details about colleagues, please let them know you have shared their details with us for this purpose. We use this information to plan and deliver the engagement. Our lawful basis is the performance of our contract with your organisation and our legitimate interest in delivering it.
Pre-workshop questionnaire. We collect your name, role and your answers about your organisation, to prepare the workshops. The lawful basis is the same as for onboarding.
Files you upload. If you upload preparation materials, we receive the files and the name you enter, and use them only to prepare and deliver the engagement.
Emails. If you write to us, we keep the correspondence to respond and to maintain a record of our communications.
Technical data. Our website host may process technical information such as your IP address and browser type to deliver the site securely.
Who processes your data for us
We use trusted service providers who process data on our instructions:
- Microsoft (Microsoft 365: Bookings, Forms, OneDrive/SharePoint, Outlook and Teams), for bookings, forms, file storage and communication.
- Synthesia, whose player shows the explanatory video on this site.
- Lovable, which hosts this website.
We do not sell your personal data, and we do not use it for advertising.
International transfers
Where a provider processes data outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.
How long we keep it
- Consultation booking details: 12 months after our last contact, or as set out in the engagement agreement.
- Onboarding details, questionnaire answers and uploaded files: for the duration of the engagement and up to 90 days after its completion, unless agreed otherwise in the engagement agreement.
- Contracts, invoices and related records: as long as required by law.
Cookies
This website does not use analytics or advertising cookies. Embedded services (Microsoft Bookings, Microsoft Forms and the Synthesia video player) may set cookies needed for them to work; their use is governed by those providers' own policies.
Security
Access to your data is restricted to the people who need it to deliver our services. Our Microsoft 365 environment uses multi-factor authentication, and data is encrypted in transit and at rest.
Your rights
Under UK data protection law, you can ask us to access, correct or delete your personal data, to restrict how we use it, or to transfer it to you or another organisation. You can also object to processing based on our legitimate interests. To make a request, email collaborate@valueai.institute. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the UK data protection regulator.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed.
